Professional Analysis Inc. (PAI) is seeking an Operations Specialist to grow into accounting, trade compliance, or logistics roles. This position is non-remote and is located at the PAI Headquarters in Alexandria, VA.
The Operations Specialist will support the company’s financial and logistics operations by performing routine accounts receivable functions while assisting with export documentation and compliance activities. This role is 60% focused on Accounts Receivable and 40% on Export Clerk responsibilities. The position is ideal for an entry-level candidate seeking experience in finance and international logistics within a regulated business environment.

Key Responsibilities
Accounts Receivable Duties (Approximately 60%)
• Generate, review, and distribute customer invoices in accordance with contract terms
• Prepare customer payments (checks, ACH, wire transfers) accurately and timely
• Reconcile customer accounts and resolve basic billing discrepancies
• Maintain accounts receivable aging reports and assist with collections follow-ups
• Verify pricing, quantities, and supporting documentation prior to invoicing
• Assist with month-end close activities related to accounts payable
• Maintain organized electronic and physical financial records
• Communicate professionally with customers regarding invoice status and payment inquiries
• Support internal audits and provide documentation as requested

Export Clerk Duties (Approximately 40%)
• Assist in preparing export documentation, in compliance with U.S. export regulations.
• Maintain organized export files and shipment records
• Flag potential export compliance issues for review by management

Required Qualifications
• Bachelors Degree (or Associate’s degree plus 2 years experience in accounting, business, or logistics a plus)
• U.S. Citizen
• Basic understanding of accounting principles and willingness to learn
• Strong attention to detail and organizational skills
• Proficiency with Microsoft Excel, Word, and Outlook
• Ability to manage multiple tasks and meet deadlines
• Clear written and verbal communication skills
• Ability to handle sensitive financial and shipping information professionally

• Coursework or internship experience in accounting, finance, or logistics
• Exposure to accounts receivable and accounts payable
• Familiarity with shipping terms or export documentation
