Position Overview
Professional Analysis Inc. (PAI) is seeking a Senior Executive Secretary-Supervisor / Executive Administrative Assistant to provide high-level executive administrative support within a Department of Defense program office environment. This role supports senior organizational leadership by managing complex administrative functions, coordinating executive tasking, and ensuring the smooth execution of leadership operations. The ideal candidate brings extensive experience, sound judgment, and the ability to operate with minimal oversight in a fast-paced, high-visibility environment.
Key Responsibilities
- Provide senior-level executive administrative support to organizational leadership and staff
- Conduct research and prepare executive correspondence, reports, and briefings
- Manage, track, and coordinate taskers and action items across multiple stakeholders
- Review and process executive correspondence to ensure accuracy, completeness, and professionalism
- Manage complex calendars, schedule meetings, and coordinate conference calls and engagements
- Coordinate and receive visitors, including senior leaders and external stakeholders
- Handle information requests and maintain organized administrative and executive records
- Perform clerical and administrative functions supporting organizational operations
- Ensure work products meet established standards for quality, format, and timeliness
Required Qualifications
- Education: Bachelor’s degree (BA/BS) in a relevant discipline
- Experience: Ten (10) or more years of experience performing executive or administrative support functions
- Security Clearance: Active Secret clearance (required)
- Exceptional written and verbal communication skills
- Advanced proficiency with Microsoft Office tools (Word, Excel, PowerPoint, Outlook)
- Demonstrated ability to manage complex workloads, competing priorities, and sensitive information
- Proven experience supporting senior-level leadership in a government or regulated environment
Preferred Qualifications
- Experience supporting Department of Defense or federal government organizations
- Familiarity with task management systems, executive correspondence workflows, and staff action processes
- Experience working in high-tempo, mission-focused environments
